Staff motivation email examples

Introducing the concept to staff

The first step is to introduce the concept of energy efficiency in the workplace to your staff. Following is a sample email that we have put together to get your thoughts started.

Sample email

Hi everyone.

We would like to introduce you to a new concept that we strongly believe in, that we will be introducing into our workplace over the coming months. It’s all about reducing our carbon footprint and becoming a more energy efficient business.

Did you know that substantial electricity savings can be achieved through simple no cost measures like turning off the lights and appliances - like your computer, printer and fax machine, at the end of the day?

Saving electricity would not only help our business bottom line, but would be great for the environment too. And of course, transferring these behaviours to your family home will help you to manage your home electricity bill better too.

We can’t change without you so we invite you all to take this journey with us. Please keep an eye out for more information that will be coming soon.

Thanks for your time.

Simple energy saving messages

Your next step could be to start educating your staff about how simple it is to be more energy efficient. You’ll find loads of tips under ‘Save on your bill’ at ergon.com.au/your-business. You could select those tips that relate to your business or choose tips for a different part of your business each week. We’ve developed a sample email to show you how you could present this information to your staff.

Sample email

Hi everyone.

We thought it might be a good time to start to share with you some of the simple behaviour changes that can lead to BIG savings in electricity usage.

This week we’ll look at Office Equipment. Remember, all of these actions can add up to BIG savings:

  • Turn off your computers, fax machines, printers and copiers at the end of the day before you go home.
  • In spite of their name, screen savers are energy wasters. That’s because your monitor uses almost full power when the screen saver appears – even in ‘blank screen’ mode. So don’t use those cute puppies, bouncing balls and star fields and enjoy significant energy savings. Instead of a screen saver, enable your computer to turn off your monitor after a period of inactivity. Or simply turn the monitor off if you know you’ll be away from your computer for some time.
  • Reduce your computer screen’s brightness level to the lowest comfortable level.
  • If something is plugged in to a power socket and it has lights on or gets warm, then it is using power. So unplug laptop cords, cell phone chargers and the like when they’re not in use, because they will use power even if no device is attached.
  • Switch off workspace lights, fans, stereos and other electrical items when not in use.

Stay tuned for more energy saving tips next week.

Thanks for your time.

Reward and recognition

The next email you send to staff could focus on how best to encourage them to get involved.

Sample email

Hi everyone.

We are keen to hear your thoughts on the best way to motivate everyone in the workplace to get involved with our drive to be more energy efficient. We would be very happy to give some of the savings we achieve in reduced electricity costs back to you.

Perhaps a team competition with a free lunch to the winning team would inspire you. Or a BBQ lunch with an afternoon of lawn bowls for everyone is more your cup of tea. Or you might prefer we made a big donation to your favourite charity. Please share your ideas with us.

Also, check out the competition Ergon Energy is running at ergon.com.au/your-business under ‘Save on your bill’ and ‘Motivating your staff’. We have ordered packs of stickers and posters to display around our workplace and Ergon Energy is giving away 5 mini iPads.

We’ll get back to you when we have collated all your ideas so we can vote on a winning theme.

Thanks for your time.

Reporting

Finally, make sure you provide feedback to staff and management on progress. It’s important to let everyone know how successful the project is along the way if you want to keep everyone’s interest up.

Sample email

Hi everyone.

Well we just received our quarterly electricity bill and we are absolutely amazed at the reduction in electricity usage thanks to your efforts on our energy efficiency program.

We have effectively reduced usage by 22% - and that’s a real saving of $2,150 and 10 tonnes of greenhouse gas emissions.

So, as we have met our target, the QQB lunch and lawn bowls afternoon is on! We’ll get back to you shortly with a date to lock into your diaries.

Great work everyone!

Thanks for your time.
